What Is Full-Time Equivalent (FTE) & How Is It Calculated?

What is FTE (full-time equivalent)?

Full-time equivalent or FTE is a unit to measure the number of hours worked by the employee in the organization divided by the total number of standard hours in a full-time schedule. It is often used by human resource and financial context to quantify the total workload especially when dealing with employees who work varying hours or part time hours.

FTE is helpful in comparing the total workforce capacity and understanding whether he have enough staff regardless of individual work schedule.

FTE calculation:

Formula for calculating FTE = Total hours worked/ Full time Standard hours

Example of full time equivalent calculation:

To calculate FTE you need to account for:

  • Full time standard hours in a week
  • Actual hour your employee worked
  • If a full-time employee works 40 hours per week, and a part-time employee works 20 hours per week, the FTE for the part-time employee would be 20 / 40=0.5 FTE
  • If two part-time employees each work 30 hours per week, their combined FTE would be 30+30 /40=1.5 FTE

Are there any exceptions to calculating FTEs?

Yes, there are circumstances in calculating the Full-time equivalent depending on the specific context or requirement of the organization:

  • Variable work hours: In some countries employee have variable work hours which makes it difficult to calculate the standard FTE. this include industries like, hospitality, retail or agriculture.
  • Shift Workers: For industries where an employee need to work in shift or in rotation, calculating FTE may require adjustments to account for non traditional work hours such as night shift, weekends, or working in behalf of someone.
  • Job Sharing: in job where two or more employees share the responsibilities of a full-time position, the FTE status of each of those employee may be less than 1.0 FTE but when combined their hours worked may equal or exceed a full-time position.
  • Leave and absence: Calculating FTE  during periods of leave or absence such  vacation or sick leave or maternity leave, may require adjustment to account for temporary reduction in hours worked.

When do you use FTE?

FTE is used in various industries depending on the situation, some of the include:

  • Workforce Planning: FTE is often used by human resource department for workforce planning, they assess and manage the staff levels in the organization. This help organization to understand and plan how many full-time employee as well a spart time employee are required to meet their operational needs.
  • Budgeting and Cost Management: FTE is required to prepare the budget by estimating the labor cost and allocate resources to each role. By converting part time and variable work hour into FTE organization can have a standard measure for comparing and managing the cost of operation.
  • Healthcare and Staffing: In healthcare FTE is used to determine the staffing requirement for various positions such as doctor, nurses and support staff. this help hospital ensure that adequate staffs are present at all time for all level to provide quality care during and outside emergency hours.
  • Education: In the education sector FTE is used to calculate the number of students enrolled and the staffing needs. This in turn help the educational center to properly allocate resources to meet the educational needs.
  • Project Management: You can also use FTE in project management to estimate the total effort required for a project. this help the project manager to understand the staffing needs and allocate resources to meet the deadlines.
  • Business Analysis: FTE is used in business analysis to evaluate the productivity and efficiency of the workforce. It is a key metric to understand the impact of changes in staffing level on business operations.
  • Contracting and Outsourcing: FTE in context of outsourcing or contracting to understand the equivalent number of full time position that a contractor or outsource team need.

Who qualifies as an FTE employee?

An Full-time Equivalent (FTE) employee is an individual who usually work full time standard hors for the organization. However it can also be used to represent part time employee by converting their hours worked in to FTE.

Following are the criteria to determine FTE:

  • FTE Employee are someone who work the standard hours defined by the company. It can be 40 hours per week in many countries.
  • They are permanent or regular employees as opposed to part time workers.
  • They have consistent work schedule working the same hours, same number of day and definite number of hours in year.

What does FTE 100% mean?

FTE 100% mean that the employee is working at full capacity according to the standard hours as defined by the organization they work.

For example: in a company if the standard hours defined is 40hours a week. Therefore, an employee who works 40 hours a week would be considered as a FTE 100%. Similarly if the organization define 35hours as standard hours for a week then employee working 35 hours is considered as FTE 100%.

What is a 0.5 FTE?

A 0.5 FTE refers to an employee who work half of the standard full-time hour for their position or the industry. It means that the employee worked for 50% of the standard hour allotted to them. For example: if a standard hour is 40 hours week and an employee is 0.5 FTE that means the employee worked for 20 hours in a week half of what was defined to them.

0.5 FTE employee are typically part time employee who work on a reduced schedule compared to full time employee.
